Professional coffee bar hire is priced as a total project fee - not a per-cup rate, not an hourly rate. The fee covers the bar, the barista, the equipment, the coffee, the consumables and the logistics. Everything in and out. One number. The variables that determine that number are event duration, guest numbers, service type, branding requirements and location.
Duration is the primary driver. A four-hour press day costs less than an eight-hour exhibition. Guest numbers matter but are secondary - a skilled barista on a La Marzocco can serve a significant volume within a four-hour window.
Branding adds cost. Custom cups, bar wraps and uniforms require production lead time and material cost. If branded cups are required for photography, build that into the brief early. Hydration adds cost but also adds value - cold pressed juices, matcha and health shots alongside the coffee service require additional equipment and preparation.
